How does KelaPro work?
Every night KelaPro captures your most recent practice data in a file on your computer which is linked to a variety of Excel spreadsheets. The Excel links are refreshed every time you open the spreadsheet and your practice data is automatically uploaded into Pivot Tables you can use to carve up key practice indicators and drill down to the underlying data. Your patient data stays on your computers, you're always looking at recent data, and you access the reports in Excel, so you don't need to learn another software program to get started with KelaPro.
KelaPro links my practice data to an Excel Pivot Table? What's a Pivot Table?
Pivot Tables are a feature built into Excel and are a very powerful way to sort, filter, and analyze large amounts of data. If you aren't familiar with Pivot Tables or want some Excel training, watch this free series of Excel videos.
How will KelaPro help my practice?
Having KelaPro organize your practice data in Excel will give you much better reporting and insight into key performance indicators for your practice. Practices are always amazed at how quickly KelaPro shows them how much money they are leaving uncollected. Once the billing office has a clear picture of old receivables they can quickly focus on collecting balances due. You can customize the reports and save each analysis separately in Excel to easily rerun the analysis with current data. Excel Pivot Tables allow you to easily carve up your data and drill down to the claim level detail for more information.
I've installed KelaPro. How do I get started?
Start with the Accounts Receivable Pivot Table. Once your practice data is loaded in KelaPro, use the Pivot Table to carefully analyze your A/R over 120 days. You might find it helpful to slice over 120 day A/R by who owes the clinic, by the provider who rendered the service, or by the date of service. Remember that double-clicking on a Pivot Table cell will open a new tab on your spreadsheet and drill down to the detail of the cell you click. Sort the claims from largest to smallest and start working on the largest claims first.
Once you've cleaned up your receivables, there are a variety of reports to help analyze and improve your revenue cycle. You can examine your lag days, or how long it takes between the time the physician renders the service and the claim is submitted. Look at billed charges and collections Pivot Tables to understand how providers, locations, months, referring physicians, diagnoses, CPT codes, and more influence the practice's billings and collections. You can look at your E&M visits to evaluate where new patients are coming from, to compare CPT levels of E&M visits (99201 vs. 99202 vs. 99203, etc.) by provider, or to study which insurance companies, diagnosis codes, or clinic locations have the most patients. Investigate your clinic's write offs to understand which claims are been written off when, which provider has the most write offs, and much, much more.
